Student Coaching in Osiris Case (extra instructions for teachers)

1. Walkthrough of the SLB process (as a study coach)

The SLB process in Osiris, starting off with CASE

Log in via the link on iAvans under "doceren" or via osirisslb.avans.nl with your standard Avans login details:

On the dashboard under the menu options you will see ' Case' . Op het Dashboard zie je de "Zaak" staan. You can see in the main screen how many open cases (green) there are and cases that have gone over the dealine (pink) From this screen you can proceed to: 

  1. Student, where you can search for students using several filters. 
  2. Case, whereby you can find  tasks/cases that are ready for you to work on. You can also click on ' Case' to go drectly to your activities/tasks . 
  3. Results, here you can fill in/send  grade rubrics (forms) and test results. 
  4. Agenda, here you can see  datepicker  (if this is used in your SLB process) 
  5. Messages, here you can find messages you have sent to the students.

You can navigating within the Osiris environment in four ways

  1. By clicking on the icon at the top with the 9 blocks, you will be taken to the main dashboard (see previous step) 
  2. The green letters next to the icon tell you in which menu you currently are working in. Below this you can find a dropdown menu whereby you can navigate through other menu's . 
  3. With the tabs at the top you can jump to other dashboards. 
  4. On nearly every single screen you can find filters on the left hand side where you can filter and change your search results. 
  5. By clicking on " Go to old Lecturer/supervisor " you will be taken to the old Osiris teacher environment. 
  6. Here you can navigate to another academy's OSIRIS environment.

On the Student page you can see 3 tabs.

  1. Basic Information : you can see the basic details of the student you coach. 
  2. Under the second tab Progress: you can see the student's study progress.
  3. Notes, here you can see all the notes made about a particular student. The authorisation coupled with these notes works the same as before (Accessible - Limited accessible - Strictly confidential )

On the left hand side of the screen you can find all the filter options whereby you can search for a student within the database. These filters are culmulative, so for every filter you use the smaller your results will be. 

You can set up filters using the following procedure:

  1. Tip: If you choose NO for  "Show only students where I am supervisor?" , you will also see students who you do not coach. 
  2. If you click on the field, it will be underlined in green and you can then type in the box. 
  3. By clicking on the icon with 3 lines in the field Student number you can add more than one student at one time. 
  4. Fields that have an arrow, have a drop down choice menu 
  5. In fields with a magnifying glass you can either type in a search option yourself or choose from one of the pre-set options.

One of the filters is "My remark". Here, you can adjust and add to this filter yourself. By clicking on this filter you choose only the students for who you have added a particular remark. These remarks are NOT available for students or other teachers. They are your own personal labels for your students. 

You can and delete any remark by clicking on the 3 dots next to the students file. A drop down menu will appear just like in step (1) 

By clicking on " Add marks" a pop up screen will appear whereby you can add a new remark (2)  for this student or choose a previously used remark (3) . 

If a remark is added to a student you will see that remark in a light grey colour box at the bottom right hand side of the students file. (4)

You can now filter students using this remark. All remarks will be added to the dropdown menu that appears when clicking on the magnifying glass next to " My remarks" .(5)

3c. Taking a look at a student's details

If you have found a student you can by clicking on that student, see all their details. For example their: basic information, study progress, results, notes etc

From the left hand menu you can navigate through all the areas of a student's details.  

4. Entering CASE

If you have chosen the tab " Case " you will see as a standard option the open cases/tasks of the students you are coaching. 

You can filter these cases: 

  1. You can choose "short selection"  or, "advanced selction" to search for information. Attention: the filters are culmulative, so the more filters you use the narrower the search.
  2. Here you can limit  activities to All open cases, My oustanding cases, or My recently completed cases.
  3. Here you can sort by: Student number, Surname, Name, Student group and Degree programme. 
  4. Here are the up to date cases.
  5. Select the period for the case
  6. Select here your personal mark if you use this function.
  7. Sort by; surname, student number, case, date case was handled, deadline case. 
  8. By clicking on the actual case, you you can see more  details about the chosen case. To leave this screen click on the link at the top  [<<search a case ]. Hereby you arrive back in the Case screen where all your cases are. 
  9. Overview: A total overview of the selected cases (your chosen cases (with any curtailments of your own students).

4a. Edit a task (activity)

If you have opened the " Case" tab you will see the open cases that are allocated to you. 

  1. To work on a case, select an action ( in this example  {Yes/unsubscribed/No] Once you have clicked on the action, the task will disappear from your overview and " My oustanding tasks" It  can be found back in your overview by searching and choosing the filter " My recently completed taks"  (these are available for 5 days) 
  2. You can also collectively work on tasks by choosing more than one in the overview. Under the button actions, you can choose " Complete tasks"

4b. Reversing a task

It may be that by accident you choose the wrong student, this is not a problem you can always reverse your action.

  1. Choose in the search options " My recently completed tasks" (5 days visible in this overview) In the detailed screen of the student, these tasks are always visible. 
  2. On the screen you will see the task. 
  3. And the date and time it was last edited. 
  4. Click on the little dots on the right hand side and choose " correct "

By clicking on the tab Student in the Case menu, you arrive in the Student are and their case. 

On the left hand side, there is once again a menu whereby you can navigate through:

  1. Tasks: tasks that are in progress as you as a coach. 
  2. Overview: here you can see an overview of the whole case and the case where the student is working. (you see this in the tab at the top under Milestones) 
  3. Details: here you can find all the documents  the student has uploaded relating to the case. 
  4. Activities: here is the log with dates and times of all tasks that have been carried out.

By clicking on  [overview] all the activities and milestones can be seen. 

  1. On the right hand side of a case you can see a visual overview of the "milestones"  
  2. By clicking on an actual student, a detailed overview of all the completed and open activities can be seen

From the overview screen you can click on the icon with 3 dots and complete several actions. 

  1. By clicking on the 3 dots under the tab Case  you can see all the relevant actions that can used with the Case.
  2. Importnat to mention here is : Stop the case (when a student stops with his/her study programme) and Pauze the case (if a student decides to stop temporarily for any circumstance) 
  3. Under the 3 dots in the Activities tab you can see actions that can be carried out for that activity. In the picture you can see that (3) by clicking on the dots behind Register top attendance  you can register if a student was present or not. 
  4. By clicking on the points under Carry out a Top meeting you can see all the relevant actions for this activity. 

 

5. Overview of Milestones and activities per Student case

  1. By clicking on [overview] you will arrive in the Milestones overview for all the students from a whole group. 
  2. By clicking on the  [i] you will see the key for the " Milestones" 
  3. On the right hand side of the case there is a visual overview of all the " milestones the student has obtained. 
  4. By clicking on the student, a detailed overview is displayed  with all the closed and open actitivties

6.Uploading a document / Completing a task for the Student

In this example you take over the uploading  of the meeting notes from the student; Click on the student in the tasks overview.

  1. Go to the Case menu and in the start screen, click on the tab Tasks. Set your filter under "limit activities to"  to " all open tasks" You will then see not only your open tasks but all students or other coaches tasks.
  2. Choose the correct task. A new scree will open. 
  3. Then you can click on "New document" and upload a document for the student.

By clicking on the tab student in the Case menu, you will arrive in the students dashboard and his case.

On the lefthandside there is a menu with the tasks that the student must carry out at this moment in time. 

  1. Overview: here you can see an overview of the whole case and the case where the student is working. (you see this in the tab at the top under Milestones) 
  2. Details: here you can find all the documents  the student has uploaded relating to the case. 
  3. Activities: here is the log with dates and times of all tasks that have been carried out. 


7. What does the student see?

  1. By clicking on the tab " Case" the student sees his/her cases. If there are open tasks than Osiris student will always open with the " Case" screen
  2. Unde " My tasks " the students sees his/her tasks per case and this is the same layout as the teacher/coaches dashboard. 
  3. He/she can see for example that 2 actions need to be completed for a task
  4. By clciking on Details he/she can carry out the task, find more information about the case and see the status of the case
  5. By using the different tabs he/she can see the status of different actions for his/her tasks and under overview the student can see the status of the whole case.
