Purpose: Recording project hours in ABW

Step 1: You have received a link via email like the one below. Click on the link and you will automatically be taken to the ABW start menu
I get a notification that I need to link ABW to the authenticator. How do I do this?
Go to https://sa.surfconext.nl on your computer.
- Select Avans Hogeschool and log in with your email address and password.
- Click on 'Add Token'.
- Select Azure MFA.
- You will receive an email with an activation code. Write down the activation code or print it out. Go to the reception with your ID, phone, and activation code. There, you can have the authentication token activated. Do this within 14 days of creating the activation code, otherwise it will expire and you will need to repeat the entire procedure.
Step 2: Go to: 1. Uw dienstverband 2. Urenstaten - standaard.
The screen Urenstaten - standard opens the most recent week in which no filled hours have been sent for approval (status 'gereed'). Your name(3) and the status "Concept(4)" are also displayed.
Step 3: You have the option to fill in your urenstaat for another week by clicking on the calendar icon and then clicking on another date (note: click on a Monday, otherwise the wrong week will open). You can also open another week by choosing 'Periode'.
Note: Make sure your internet browser settings are set to Dutch, otherwise the calendar will open on Sunday.
Go to the three dots in the top right corner of your internet browser -> settings -> languages -> Dutch

Note: You can register hours up to 10 weeks in the past.
Week 1 will be closed in week 11, week 2 is closed in week 12, and so on.
Step 4: Click on 'Toevoegen' to add a new, empty line to your urenstaat

Step 5.1: Place your mouse in the field "deelproject" and type a space first. After this you will get a list of possible deelprojecten for which you can register your hours. the projects you can log time on will appear. This can be either a code (e.g., "P046146-100") or a description (e.g., "De Vitale Oma's").

Step 5.2: Another option to look up all projects is to click on the three dots, then click on 'zoeken'. This will bring up a list of all the projects

Step 6: After entering or selecting a Deelproject, press 'Tab'. The Project will then be filled in automatically. The description will automatically change to the 'beschrijving' (descpription) of the Deelproject.
Next, enter an Activiteit by pressing space or using the three dots in the relevant field and selecting the required activity. Press Tab again.
The 'Beschrijving' (description) can be adjusted in the field if necessary.
Following, you can fill in the number of hours per day for this line. It is also possible to record half hours by entering 0,5.
To add a new line for the next project, click on "toevoegen".

Step 7: Click on 'Opslaan' when you have finished filling in the urenstaat.

Step 8: The notification "Succes" appears. The urenstaat is saved as a concept because Status was chosen as 'Concept'.
Click 'OK'.
As long as your hours have the status 'Concept', you can still adjust your hours if needed.

Step 9: If you want to finalize the urenstaat and send it for approval, change the status of the urenstaat to "Gereed", as shown below.

Step 10: Click on 'opslaan'
The notification 'Succes' appears. The urenstaat is sent for approval. Click 'OK'. Each line in the urenstaat remains editable as long as it has not been approved.

Step 11: It is possible to copy a previously saved urenstaat. To do this, click on the 'Kopie vorige weken' button at the bottom.

Step 12:
1. The "Kopie vorige weken (1)" window opens. By default, the last saved week is displayed.
2. By clicking on the triangle(2), it is possible to select the week number of a previously saved urenstaat.

Step 13: If you want to copy a previous urenstaat including the hours entered on it, do this by unchecking the box behind 'Tijd wissen'. and click OK..

The lines from the selected previous urenstaat are now copied, including the hours.
Step 14: It is also possible to copy a previous urenstaat without the hours. You do this by checking the box 'Tijd wissen'.

The lines are now added to previously added lines, with the number of hours set to "0".
Step 17: If the timesheet is rejected, a task will appear at the top of the screen with the number indicating the total number of tasks currently open for you (1). Clicking on this will display detailed information next to the task description "Correctie tijdstaat" (2). Click on the task to open it.

Step 18: After opening the task, the timesheet will be displayed with an indicator next to the rejected lines (1). Any comments will also be shown (2). Correct the timesheet and click "opslaan"
Step 19: The message "Success" appears and the timesheet has been resubmitted for approval. Click "OK".

Entered hours can be viewed in the "Mijn ingevoerde urenstaten (jaar)" screen at the location indicated below.

When opening the query screen, you will be asked to choose a date range. You can use a calendar (1) to select the dates. Then click OK (2).
The screen will displays the hours you have entered as shown below.
The sorting can be adjusted as desired, as shown below in order of deelproject by clicking on the word "deelproject".
It is also possible to apply certain filters, as shown below on the "deelproject" column, click "OK".
